We’re looking for a friendly and proactive Administrative and Marketing Assistant to join our close-knit Support Team! This is a 12-month remote position open to Alberta residents who are eligible to work in Canada without sponsorship.

You’ll work closely with our CEO and team members to keep our clinics operating smoothly — from scheduling and coordinating projects to lending your skills to social media and internal communications. You’ll also play a hands-on role in growing our employer brand, helping us celebrate our amazing teams and connect with future talent.

The Opportunity

Key Responsibilities:

Board, Executive and Administrative Support

Coordinate various meetings, create and distribute agendas, minutes, file notes, and other action items as required;
Responsible for travel/accommodations and itineraries for CEO, support team, veterinary locums and prospects;
Liaison between clinics and the support team, flagging operational needs and proposing process improvements.
Plan and coordinate logistics for 2-4 company events per year (20+ attendees);
Backup for systems onboarding and teams management.

Marketing & Social Media

Co-own and execute Mosaic’s social media content and presence (Facebook, Instagram, LinkedIn) in partnership with the Director of Talent & Brand;
Co-lead the Social Media Club and align clinic-level content with brand tone and visuals;
Monitor online comments and engagement; support digital employer branding through ad content, video clips, and career features.

External and Internal Technology / Websites

Manage tech procurement for clinics;
Oversee domains, hosting, and licenses, hosting with third party for website updates and support;
Responsible for publishing monthly content to company Intranet (HUB) and internal communications related to employee celebrations, clinic news, and internal initiatives and contests

Creative Content and Brand Support

Create branded marketing materials in Canva for recruitment, social media, and events;
Assist with clinic-specific swag design, ordering, and shipping;
Ensure brand consistency across all public facing materials.

The Ideal Candidate

Skills and Qualifications of the Successful Candidate will include:

Location: Resides in Alberta.
Experience: Prior experience as an Executive Assistant, Operations Assistant, or in a similar role.
Education: Post Secondary Education preferred.
Technical Proficiency: Advanced skills with Microsoft 365 products and apps; experience with and understanding of AI tools; and proficiency in digital marketing platforms like Canva.
Social Media: Demonstrated expertise with content creation across multiple social media platforms (Facebook, Instagram, LinkedIn).
Personal Attributes: A proactive, approachable, and highly organized professional with exceptional attention to detail. Ability to work independently, maintain confidentiality, and uphold company values with integrity.
